What is the weight of your package?

A country may consider placing a value on printed matter, such as legal documents, when it is over a certain weight break. In most cases value will be placed on any packages weighing over 150 lbs. Be sure to check the specific weight regulation for your destination country.

Example: When shipping documents from the China to Germany, any packages containing printed matter must follow these weight restrictions or value will be added, and the packages will be considered dutiable.

  • Maximum weight: 70 kg (150 lbs.) per package
  • Maximum length: 270 cm (108 in.) per package
  • Maximum dimensions: 419.10 cm (165.0 in.) per package Length and girth combined

Are there any materials that should be removed?

Office supplies such as staples or paper clips may hold up your shipment in customs and also may be levied with VAT and Taxes. It is best to purchase your office supplies in that country to avoid any delays.

Documentation requirements for non-dutiable items

When shipping non-dutiable items, you may be required to provide a Customs Declaration Letter* (also known as Proforma Commercial Invoice) describing the items being shipped, and its intended purpose.

Not every country requires the Proforma invoice, but you may want to include it just in case. The letter should be prepared on your company letterhead, and signed by the person that is preparing the shipment.

1) Include a description of material, for example, “This shipment contains legal documents in CD format. These documents are to be used for our firm’s internal purposes only. These samples have no commercial value and are not for resale.”

2) For customs purposes only, place a nominal value of $5 per box or $1 per CD

3) Describe in detail the contents of your shipments

4) Include the details of who is shipping the package and to whom it is being shipped to. (Shipper and Consignee)

5) Correctly list the value of your shipment –3 boxes of documents would be valued at $15 (3 boxes at $5 each)

Completing a Commercial Invoice for dutiable item

If you have determined that your shipment is considered “dutiable”, you will need a Commercial Invoice (see example on page 11). The Commercial Invoice is the official transaction record between an exporter and an importer.

It is the form that customs officials use to clear your shipment.

1) Place the full name and address for both Exporter/Shipper and Consignee on the invoice. Include a contact name, telephone number and fax number

2) Include a complete description of the items being shipped. – More shipments are held due to an inaccurate description of goods than for any other cause. The description, along with the country of origin and the harmonized tariff code, helps brokers determine how your product should be classified for import control and duties calculation.

You can look up the harmonized tariff code online at https://www.usitc.gov/ . – When describing your items, be sure to include what it is, how many units there are, and intended use.

3) Sign and date the document in blue or black ink. Print the document on your company letterhead.

4) Be sure to add a destination control statement to your invoice. – A Destination Control Statement is required for all products being exported out of China. These statements should be printed on the commercial invoice, packing list and bill of lading. – The Destination Control Statement is as follows, “These commodities, technology or software were exported from the China in accordance with the Export Administration Regulations.”

5) Make copies of your required documents. – Each country will have different requirements for the amount of copies necessary to ship internationally. Be sure to have the correct amount of copies in order to avoid unnecessary delays.

Examples:

• Non-document shipments to Brazil must include 3 original, signed commercial invoices. The consignee phone number must be on the commercial invoice (it is mandatory).

• Non-document shipments to UK must include 1 original and 2 copies of an invoice. Every shipment requires an invoice, which shows the realistic market price of the commodity. Shipments with unrealistic low merchandise value may be delayed by customs.

6) All shipments must have the consignee’s Tax ID number written on the waybill and the invoice. Non-compliance will result in customs holding the shipment until the number is obtained, which will cause delays.

7) Include a signed Quick Bill of Lading and place inside each package.

How to calculate your express shipping costs in minutes ?

I. Rate Calculation Rules

1. Rates are calculated based on chargeable weight:

Chargeable weight is determined by the greater between the actual weight and the volumetric weight.

Same Day/Next Morning/Standard Express

For mutual shipping within the city, province or economic region, Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 12000.

For inter-province non-economic region shipping, Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 6000;

Economic regions include: Beijing/Tianjin/Hebei Region, Jiangsu/Zhejiang/Shanghai/Anhui Region, Sichuan and Chongqing Region, Heilongjiang/Jilin/Liaoning Region.

SF Standard Express (Ground) Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 12000.

Heavy Freight Package/Small-size LTL/Cold Chain Economy Express/Cold Chain

Express Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 6000.

Cold Chain LTL Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 3000.

Hong Kong, Macau, Taiwan (Services) Volumetric Weight (KG) = Length (CM) x Width (CM) x Height (CM) ÷ 6000.

II. Decimal Point Carry-over Mode of Chargeable Weight

Delivery within Chinese Mainland: For weight range of (0kg, 10kg), chargeable weight will be calculated in an increment of 0.1kg, rounded to 1 decimal place. For weight range of [10kg,100kg), chargeable weight will be calculated in an increment of 0.5kg, following the rule of (0, 0.3) as 0, [0.3, 0.8) as 0.5, and [0.8, 1) as 1. For weight range of [100kg, +∞), chargeable weight will be rounded to the nearest 1kg.

Hong Kong & Macau Domestics Services Chargeable weight will be calculated in 0.5KG increment. Those which are less than 0.5kg will be charged as 0.5 kg.

Service from Chinese Mainland to Hong Kong, Macau and Taiwan Chargeable weight below 100KG will be calculated in 0.5KG increment; those which are less than 0.5kg will be charged as 0.5 kg. For shipment over 100KG, the chargeable unit is 1KG. If the mantissa after the decimal point is larger than 0, round up to the next 1KG.

Service from Chinese Mainland to Overseas Countries  For shipments below 20KG, the chargeable unit is 0.5KG; those which are less than 0.5kg will be charged as 0.5 kg. For shipments no less than 20KG, the chargeable unit is 1KG. If the mantissa after the decimal point is larger than 0, round up to the next 1KG.

III. Handling Mode of Freight Charges Calculation

1. The calculation of freight charges will be round up to integer;

2. The initial weights of different product are different. If the product is not as heavy as the initial weight, charge by and display the initial weight.

1. Transit Time Standard

1. Please note the transit time standard will be varied by and altered due to factors including but not limit to public holiday, weather, traffic control, resource allcoation,and etc. For real-time transit time, you may refer to the SF official channels and sysytem for details.

2. For shipments from/to Hong Kong, Macau or Taiwan

1. The payment mode of shipment fees, including freight charges and value-added service fees, can be changed from paid-by-consignee(or third party) to paid-by-shipper before acceptance and sign-off. For shipments whose payment mode has been changed, the shipper shall not only pay the freight charges and value-added service fees, but also pay the surcharges for changing the payment mode.

3. For Special Express Service from Taiwan to Mainland China, please refer to our rate card. The transit time about this commodity will be add 3-5 days base on SF Stand Express.

5. Shipments collected from or delivered to Hong Kong’s Remote Areas would require 1 additional business day.

6. Shipments collected from or delivered to certain areas in Taiwan require 0.5-1 additional business day.

7. The above freight charges of express delivery from the HMT region to mainland China and mutual delivery within the HMT region have already included fuel surcharge.

 

3. For shipments from/to an oversea country

For shipments from/to an overseas country:

1. The above overseas shipment rates and shipment transit time are for reference only. If you have any queries, please call SF Express International Service Hotline at 9533883.

2. The above overseas shipment rates already include fuel surcharges, but exclude customs duties, remote area surcharges, residential delivery surcharges, and other special handling fees.

3. The standard day of the standard refers to the working day, does not include the date of receipt, and does not include weekends and holidays. The actual delivery time is subject to the destination zip code. In the case of remote areas or suburbs, flight delays, customs clearance, etc., the transit time will be expected longer.

4. Under the precondition that the declaration documents are complete, and there is no risky self-detainment and detainment by customs, the corresponding extra transit time should be added on the reference transit time when the following situation happens: 1-2 working days added when individual articles and formal declared goods import of Chinese Mainland, Hong Kong, Macau and Taiwan (HMT) port, 2-4 working days added when luggage declared goods import from Chinese Mainland port, 1 working day added when formal declared goods export from Chinese Mainland and HMT port, and 2-3 working days added when formal declared goods import from overseas countries port.

5. To reduce the risks caused by incomplete shipper’s name, declared commodity description or false or inconsistent declared value, the information of shipper and receiver shall be true and effective. Material and usage of the commodity description shall be specified. The value of the consignment shall be declared truly. If the inspection is delayed due to the above-mentioned reasons, All the arisen expenses and related taxes shall be charged from the shipper or receiver.

How to calculate air freight and express costs?

We noticed that importers, including experienced ones, are confused by the way that air freight and express transport are calculated. When a « courier », a forwarder or a supplier give you a price by kilo, has to refer usually to the cost of “taxable weight”.

Taxable weight is based itself on the real weight of goods or the volumetric weights of goods, the higher value of both. The calculation of volumetric weight is different between air freight and the company of express transport.

Volumetric weight (“classic” freight) = Volume (in CBM) x 167

Volumetric weight (“express” freight) = Volume (in CBM) x 200 \
As the volumetric weights exceeds the real weight of the cargo, fees are based on 320 Kg by express way and on 267 Kg by « classic » air freight.
EXAMPLE STEP 1 :
  • Product: Android tablet
  • Quantity: 500 parts
  • Number of boxes: 10
  • Size (cm): 80 x 50 x 40
  • Total real weight of 10 boxes: 200 Kg
  • Volumetric weight (express): ((80x50x40) / 5000) * 10 = 320Kg
  • Volumetric weight (air freight): ((80x50x40) / 6000) * 10 = 267 Kg

As the volumetric weights exceeds the real weight of the cargo, fees are based on 320 Kg by express way and on 267 Kg by « classic » air freight.
